Booking Process

All bookings at The Ember River Club are arranged through a direct enquiry and consultation process. Each event is tailored to the specific needs of the group, with confirmation provided once availability, format, and dining preferences have been agreed. This process ensures that every experience is aligned with guest expectations, including timing, pacing, and thematic elements. A booking is considered confirmed only after mutual agreement between the client and the venue.

Client Responsibilities

Event organisers and guests are responsible for providing accurate and timely information during the planning process. This includes confirmed guest numbers, arrival times, and any relevant requirements that may influence the experience. Special requests, dietary considerations, or format adjustments should be communicated in advance. Changes after confirmation may be subject to availability and approval, and may affect the structure or delivery of the event.

Venue Conduct and Guest Expectations

Respectful Conduct

All guests are expected to conduct themselves in a respectful and considered manner while within The Ember River Club. This includes interactions with staff, hosts, and other attendees. Behaviour that is disruptive, aggressive, or otherwise unsuitable for a shared environment is not permitted. The venue atmosphere is designed to be immersive, comfortable, and inclusive, and all participants are expected to contribute to maintaining that environment.

Right to Refuse Service

The Ember River Club reserves the right to refuse entry or service to any individual who does not meet expected standards of conduct. Guests attend the venue at their own discretion and are responsible for their personal belongings at all times. Event Participation

Participation in all activities, including hosted games and themed experiences, is voluntary.
